Nonprofit Marketing Nerds is hiring an Executive Assistant to join a fast-paced, tech-forward marketing agency that has supported nonprofits and associations.

Nonprofit Marketing Nerds is a tech-forward marketing agency serving nonprofits and associations across the U.S. We use AI every day.

Our team is US and LATAM-based, with about 60 percent based in LATAM. We are a mission-driven, creative, slightly quirky team of marketing nerds who care deeply about helping good organizations grow.

We are looking for a proactive Executive Assistant based in Mexico City who wants to support a fast-moving CEO and help keep the agency running smoothly. This role blends executive support, operations coordination, and a small amount of marketing administration. You will bring clarity and order to a high-energy environment.

This is a hybrid role with regular in-person work three days a week depending on the CEO’s travel schedule.

What You’ll Be Doing

You will support the CEO directly and keep communication, operations, and priorities flowing. You will:

  • Manage the CEO’s inbox and draft responses

  • Organize communication and move tasks into our project management system

  • Manage the CEO’s calendar and support scheduling

  • Coordinate with team members across pods

  • Prepare agendas and meeting summaries

  • Maintain files, documents, SOPs, and internal workflows

  • Support scheduling, travel, and logistics

  • Assist with light marketing administration such as formatting posts or scheduling content

  • Use AI tools for summaries, writing support, and organization

  • Bring structure and calm to a fast-paced environment

You will not be doing social media management. You will support light marketing-related admin tasks and help coordinate communication with our creative team.

Schedule

  • Thirty four hours per week

  • Monday through Thursday full days (US time zones)

  • Half day Friday

  • Approximately two to three in-person workdays in Mexico City per week
